Prepopulating Listing Fields from Property

    Learn how to efficiently prepopulate listing fields using property data to save time and improve accuracy in your listings.

    Introduction

    When you create a Listing from a Property, AscendixRE prepopulates several Listing fields directly from that Property, so you don't have to re-enter information that's already on the record.

    What You Can Do:

    • Create a Listing from a Property and have key fields filled in automatically
    • Review and override any prepopulated value before saving
    • Trust that later changes to the Property won't silently change an existing Listing

    Getting Started

    How prepopulation works

    Step 1: Create a Listing from a Property

    1. Open the Property record.
    2. Go to Related > Listings
    3. Create a new Listing related to that Property.

    Step 2: Review the prepopulated fields

    AscendixRE fills in the following fields from the Property automatically:

    • Listing Broker Company and Listing Broker Contact
    • Owner/Landlord and Owner/Landlord Contact
    • Market, Region, Sub Market
    • Property Type and Property Sub Type (from the Property's record type)
    • Description, Location Description, Website
    1. Change any of these fields before saving if the Listing needs different values — they're normal editable fields, not locked.

    Common Scenarios

    The Property's Listing Broker Contact or Owner/Landlord Contact isn't visible to you

    If a Contact referenced on the Property isn't accessible under your sharing settings, AscendixRE leaves the corresponding Listing field blank instead of blocking the save. Ask your administrator to review sharing on that Contact if you need the field populated.

    I updated the Property after creating the Listing

    Prepopulation only happens when the Listing is created. Changing the Property afterward does not update fields on Listings that already exist.


    Troubleshooting

    1. A field I expected to prepopulate is blank
      1. Confirm the source field is actually populated on the Property record.
      2. If the field references a Contact, confirm you have access to that Contact.

    If the issue persists, contact your Salesforce administrator.
