My Harvest Settings

My Harvest Settings is your personal settings page in Harvest. Use it to tune how the emails you forward are parsed, without changing anything for your teammates.

    On this page you can:

    • See and copy the email address you forward emails to
    • Choose the AI model that parses your emails
    • Edit the parsing instruction, including the rules Harvest follows for each type of email
    • See which types of records (for example Contacts, Properties or Deals) and which fields Harvest can fill in for you, and edit how Harvest recognizes each type of record

The first time you open the page (or the first time one of your emails is parsed), Harvest creates your own copy of the settings from your organization's defaults. Your changes apply only to emails you forward. Changes your admin later makes to the organization defaults do not overwrite your copy.

    Prerequisites

    • The Ascendix Harvest User or Ascendix Harvest Admin permission set is assigned to you.
    • Your admin has set up an email address for you and chosen the types of records Harvest can suggest.

    Open My Harvest Settings

    1. Open the Ascendix Harvest app.
    2. Click the My Harvest Settings tab.

The page opens on the Email Addresses tab. The other tabs are AI Settings, Parsing Instruction and Objects.

Note: If you see "You do not have access to My Harvest Settings. Contact your administrator.", ask your admin to assign you the Ascendix Harvest User permission set.

    Email Addresses
This tab shows the Harvest email addresses assigned to you. Use this address to forward the emails you want to be parsed into record requests.

    1. Find your address in the list. Each row shows Status (Active or Inactive), Name and Email Address.
    2. Click the copy icon next to the address to copy it to your clipboard.

Note: Only Active addresses receive emails for parsing. If an address shows Inactive, contact your Salesforce administrator.

    AI Settings
Choose the AI model that parses your emails. If you don't select one, your organization's default model is used.

    1. Open the AI Settings tab.
    2. Compare the models in the comparison table:
    Model Accuracy Speed Cost
GPT 5.5 Very High Fast Medium
GPT 5.2 Very High Slow Medium
Anthropic Opus 4.8  Excellent Medium High
Anthropic Sonnet 5.5   Excellent Fast Medium
Anthropic Sonnet 4.6 Excellent Slow Medium
Gemini 3.8 Flash Very High Fast Low

    3. Select a model in AI model.
    4. Click the Test Connection button to confirm that the selected model responds. A successful test shows “Connection successful. The selected model responded.”
    5. Click the Save button.

After you save your own model, a Use org default button appears next to Test Connection. Click it to go back to your organization's default model.

Note: If you see "Your saved model is no longer available", choose a new model or click Use org default. If you see "AI parsing is currently disabled by your System Administrator.", parsing is turned off for your org.

    Parsing Instruction
The parsing instruction tells Harvest how to turn an inbound email into records. Your version of each section replaces the default instruction for the emails you forward. Changes take effect on the next email after you save.

    Harvest acts as
This section sets the role Harvest takes when it reads your emails, for example an experienced CRE broker.

    1. Click the pencil icon next to Harvest acts as.
    2. Enter the role, for example an experienced CRE broker specializing in industrial leasing.
    3. Click the Save button.

To return to the default role, click the curved-arrow icon next to Harvest acts as.

    Rules by Email Type
Each rule describes a type of email and tells Harvest which records to suggest for it. The table has these columns:

    Column Meaning
Email type The kind of email the rule applies to, for example Landlord/owner announcing available space.
Suggests Controls which records Harvest suggests you create when an email matches this rule, for example a Contact and an Inquiry.
Never suggests Records Harvest never suggests for this type of email, for example no Deal for a simple inquiry.
Extra guidance Your own instructions for this email type, for example Do not create a Contact for the sender.

Harvest follows your rules over its built-in instructions:

    • If an email fits more than one rule, Harvest uses the rule that fits best.
    • If an Extra guidance item conflicts with Harvest's built-in instructions, Harvest follows your guidance.
    • Junk emails (bounce-backs, auto-replies, calendar invitations, system notifications and similar) never create records, whatever your rules say.

The default rules include common broker emails, for example space requirements, comps exchange, contact introductions, offering memorandum (OM) emails and listing platform notifications (Crexi, LoopNet, CoStar). You can edit any of them.

    To edit a rule:

Each rule's row has three icons on the right: a curved arrow (reset), a pencil (edit) and a trash can (delete).

    1. Click the pencil icon on the rule's row.
    2. Change When the email is, the records Harvest suggests and never suggests, and the guidance. Click the + Add button to add a type of record (for example Property) and the + Add guidance button to add a guidance item. To remove an item, click the x next to it.
    3. Click the Save button. A message confirms: “Your version is saved and active. It applies to the next email you forward.”

To add a rule: click the Add email type button above the table, describe the email in When the email is (for example Landlord announcing available space), choose the records Harvest should suggest and click the Save button.

To delete a rule: click the trash can icon on its row and confirm. To get a default email type back later, use the Reset all button.

To go back to the defaults: click the curved-arrow icon on a rule's row. To remove all your versions at once, click the Reset all button above the table.

Note: If a type of record in a rule appears greyed out with a dashed border, Harvest cannot suggest it. Hover over it to see the reason, for example "Deal is not turned on for parsing". Ask your admin to turn it on.

Note: Customized rules cannot be longer than 4,000 characters in total.

    Objects
This tab shows the types of records Harvest can suggest for you (in Salesforce these are called objects), for example Contacts, Properties or Deals, and the fields Harvest can fill in for each. Your admin decides which ones are turned on, so you cannot turn them on or off here. Only fields you have access to are shown.

    1. Select a type of record in the list on the left, for example Deal. The panel on the right shows its fields, their type and a Required badge where it applies.
    2. Edit the Object Description. The description tells Harvest how to recognize this type of record in your emails, for example A Deal is created only when a named buyer or tenant is present.
    3. Click the Save button. A message confirms "Description saved".

Types of records with your own description show a Custom badge; others show Org default. To go back to your organization's description, click the Reset button under the description.

Note: The description cannot be empty.

If your admin has not turned on any types of records for you, the tab shows "No active objects are available to you". Ask your admin to set them up, then click the refresh icon.

Note: If you see "Your personal parse settings are turned off, so org defaults are used. Contact your administrator to turn them on.", you cannot save changes, and your emails are parsed with your organization's default settings. Contact your Salesforce administrator.

    Troubleshooting
    1. My changes are not reflected in the suggested records

    1. Changes apply to the next email you forward, not to emails already parsed. To re-parse an email, use Process Again on its Record Request Set.
    2. Check that the rule's Suggests list includes the type of record you expect, for example Inquiry.
    3. Check that this type of record is turned on for you. If it appears greyed out in the rule, hover over it - a message such as "Deal is not turned on for parsing" means it is not.

    2. Records are not created from emails

    1. Confirm that your address shows Active on the Email Addresses tab.
    2. Verify that the email was forwarded to that address.

If the issue persists, contact your Salesforce administrator.
